Board of Directors Meeting

Wednesday, January 19th, 2022; 7:30am

MINUTES

Present: Tesch, Gaskell, Muellner, Behrens, Miksch, Aagard, Nelson, Nance, McElroy, Cothern, Lester, Kappes, Davidson

Excused: Kauffman, Wills, Oslund,

Unexcused: Groettum, Weiss, Macken, Strauss, Widman

Staff Present: Hoosier, Esau, Curran, Gibson

  1. Call to order

Gaskell called the meeting to order at 7:32am.

  1. Approval of Minutes
    • Nance asked – under financials it states $100,000 over budget. This needs to be adjusted to under.

Motion to approve the December minutes was made by Lester, seconded by Miksch and passed.

  1. Financials
  • Behrens: General P&L: Half of our City Funding will come in this month and the second half comes in July We did get an extra $25,000 for sales efforts. Bonuses are lower than budgeted – some of this is due to Ben leaving and not getting his retention bonus. Utilities is up from paying out office phones for the year. Event P&L – Rebates is going down from paying out event owners as we get money in from hotels. Hospitality and Printing went up from NJCAA Volleyball and Early bird Basketball.
  • Esau:

Motion to pass the financials was made by Tesch, seconded by Nance and passed.

  1. Event and Organization Report:
    • Matt: A monthly event summary report has now been added back into the board packet. White the new mask mandate that went through it does not include athletes while they are participating/competing in sports.
    • Linsy: Volleyball – Frostbite I started with 68 teams and ended up have 9 teams drop out from Covid. We are currently working on our audit. Getting workers has been a huge challenge
    • Kaleigh: Hosted the Founders Cup Hockey tournament – numbers were down for that tournament at 16 teams. Moving forward we have 2 more RYHA Tournaments, Moma Pool and Darts – working to track room nights better, hoping the booking link we now have on our website will help. RCYBA Basketball Boys and Girls. Few Swimming meetings coming up as well.
    • Gibson: New staff introduction: Originally from Rochester, went to Mayo. Has been in the Air Force the last 7 years. Has a few basketball tournaments coming up he has been working on. Will also be working on wrestling and have a meeting with the event organizers coming up today.

  1. Old Business:
    • Sports Banquet: Hosted the banquet this past week. All things considered; we feel it was a very successful banquet with almost 400 attendees. We felt the guest speaker did a good job and had a good message for the kids. Board members liked the live auction – brought new energy to the room. Thought there wasn’t enough auction items. Muellner mentioned he liked the acceptance speech from the individual who couldn’t attend and suggested that we have it for all individuals who couldn’t attend – noted that we do ask all winners for an acceptance speech but some just never send it.
    • Public Relations: Talked about getting press releases out before the start of big events. Looking to have some Human-Interest stories. We talked about getting Google Analytics for the website and using QR codes at events to direct them to our website.

  1. New Business
    • Wrestling events: we have lost a few big wrestling events that are moving to Lacrosse because of the restrictions at RCTC. Two notable events are Clash and NYWA. Because of this we held a meeting with all wrestling event organizers – The voiced their frustration with RCTC and City Council – concerns with communication but also how the system is run. Rctc mentioned that the wrestling events are not profitable so losing them isn’t a hit. Wrestling commented that RCTC is the only venue in town that and house these wrestling events.

  1. Adjournment- A motion to adjourn the meeting was made by Behrens, seconded by Davidson and passed. Gaskell adjourned the meeting at 8:52am.
